Sometimes we need to send Emails to the required attendees for an appointment. To achieve this either we can create an Email activity or we can directly configure a step Send Email in workflow.

Here we will discuss how to use Send Email step in the workflow on an entity and for now we are discussing on Appointment entity.

First we have to navigate settings -> Process -> Create new Process

Give  the workflow name as per your wish but keep a name which is understandable. Select Category as Workflow. Select the Entity, for now its Appointment and Press OK.

Once OK is pressed the workflow is reloaded with additional options. Select the scope as Organization so that the workflow can run on organization records.

Click Add Step to add New Step and in the below list select Send Email. This option will send emails with our required parameters.

Select Set Properties to specify your required parameter

Once you click Set Property button the Send Email Form will open where you can set the required values for To,Cc,Bcc,Subject,Description etc.

Now We will assign the fields with proper value from Form Assistant which is displayed right side of the below screenshot.

Select From field and go to Form Assistant panel. As we can see the Look For option is selected as Appointment so we can user any field from the field drop down of Look For entity. We can also choose other related entities of Appointment. It Depends on the requirement that which values are required to setup the Email Message.

For now Select the Appointment and Created By Field from the field drop down and press OK. once you press Add the field will be added in the below box of the field drop down.

Now we can assign the field to From field of Send Email Form.

Select the option from the BOX from form assistant and press OK being the From field selected.Now the value will be assigned to the field and will be shown as yellow color as below.

Repeat the step to achieve your required value sets as below.

Save and Close the Send Email Editor once done.Now You are ready to save the workflow and activate. Save the Workflow and Press Activate the Workflow.

Now the workflow is ready.

Whenever an appointment will be created with proper information then this workflow run in background and send Email to Corresponding recipients through Email Router on Due Date selected on the Email Message.
